A comprehensive guide for NDIS providers on using the CodexPro platform — covering every module, feature, and workflow from login through to billing and reporting.
Introduction
Welcome to the CodexPro NDIS CRM — a purpose-built, cloud-based practice management system designed specifically for Australian NDIS registered providers. This platform enables your organisation to manage participants, staff, rostering, compliance, billing, and reporting from a single, secure portal.
Login & Two-Step Authentication
2.1 Sign In Screen
When you navigate to your provider's CodexPro portal URL, you will see the Sign In screen. This is branded with your organisation's logo and name, alongside the NDIS Registered Provider badge.
2.2 Two-Step Verification (OTP)
CodexPro uses two-step verification to protect your account. After entering your credentials, you are taken to the Verify Your Identity screen.
Dashboard
After a successful login, you land on the Dashboard — the central hub of CodexPro. It gives you an at-a-glance summary of your organisation's key metrics and provides quick access to daily tasks.
3.1 Summary Widgets
The top-right panel displays four key metric widgets, each providing a real-time count of important items:

3.2 This Week's Shifts
Below the summary widgets is the This Week's Shifts panel, which provides a quick view of all participant shifts scheduled for the current week, helping coordinators track upcoming support delivery at a glance.
3.3 Tasks "To Do" List
The main centre area of the Dashboard is the Tasks "To Do" List. This feature allows administrators and staff to create, assign, and track daily operational tasks to ensure nothing falls through the cracks.
Filtering Tasks
Use the Select By dropdown to filter tasks by status — Completed or Pending.
Adding a New Task
Editing or Updating a Task
Each task in the list has an Edit/Update button. Clicking this opens the task for editing, allowing you to update the description, notes, or delegation.
Adding Comments to a Task
To communicate on a specific task, click the task to open the Add Comments modal:

When a task is finished, click the ✓ Done button on the task row. A confirmation dialog will appear:
3.4 Navigation Sidebar
The left sidebar provides access to all modules. It displays your user avatar (initials), your full name, and your account type (e.g. Super Admin). The navigation is grouped into sections: Main Menu (Dashboard, Admin, Staff), Participants, and Finance.
Click on any menu item with a › arrow to expand its sub-menu. Click the hamburger icon (☰) at the top to collapse or expand the full sidebar.
Admin – User Management
The Admin → Users section is used to manage Super Admin and Admin staff accounts only. These are the administrative users who manage the CodexPro portal.
🛡️ Super Admin
Has full access to the system. Can view, create, edit and delete both Super Admin and Admin user accounts. Has access to all modules and settings.
⚙️ Admin
Can manage Admin users only. Cannot view or manage Super Admin accounts. Access to modules is controlled by the permissions assigned by a Super Admin.
4.1 Admin Staff List
Status Summary Badges
At the top of any staff list, four summary badges show the count of staff by their document/account status:

4.2 Add / Edit Super Admin & Admin Form
This form is used to add a new or edit an existing Super Admin or Admin staff member. The same form is used for both operations — when editing, all existing details are pre-populated. All fields marked with an asterisk (*) are mandatory.

Login Credentials

Employment Details

| Level | Numeric employment level (e.g. 1, 2, 3). Used for payroll classification. |
| Contracted Hours | The number of hours per week contracted for this staff member. |
| Payroll Group | Select the applicable payroll group from the dropdown (configured in Global Settings). |
| Admin Notes | Internal notes visible to administrators only. Supports rich text formatting (bold, italic, lists, links, quotes). |
Emergency Contact
Enter the staff member's emergency contact details including Contact Name, Relationship (e.g. Spouse, Parent), Mobile Number, and Email.
Saving the Form
Once all required fields are completed, click ✔ Save Staff Member at the bottom right. To discard changes, click ✕ Cancel.
4.3 Staff Compliance & Competency Documents
Click the Docs (folder) icon on any staff row to open their personal compliance document management panel. This is where you upload, track, and manage required compliance documents for each staff member.
Document Status Badges

| ● Pending | Document is required but has not yet been uploaded by the staff member. |
Table Columns

| Notify | Send a notification/reminder to the staff member about this document. |
| Edit | Edit document details (name, type, expiry date, status). |
| Delete | Permanently remove the document record. |
To add a new document, click ⬆ Upload Document and complete the upload form with the document file and relevant details.
4.4 Manage Participant Access
The Participants access icon (👥) on each staff row opens the Manage Participants Access screen. This controls which participants a staff member can view and interact with in the system.
4.5 Manage Staff Access
The Staff access icon (👥) opens the Manage Staff Access screen. This controls which other staff members a given user can view and interact with.
Enable the Show Active Staff Only toggle to filter out inactive staff from the list. Toggle access for each staff member individually, then click 💾 Save Access.
Admin – Global Settings
Global Settings contain the configuration tables that drive functionality throughout the system. These are typically set up by a Super Admin or Admin during initial system setup and updated as needed. Navigate to Admin → Global Settings in the sidebar.
5.1 Classification
Manage service classification types used across the platform to categorise shifts and support services.
- Click + Add Classification to add a new row inline directly in the table. Type the classification name in the input field that appears, then click the green tick (✔) to confirm and save, or the orange ✕ to cancel.
- Toggle the Active switch to enable or disable a classification without deleting it.
- The Added By column shows who created the record and the Added Date shows when.
- Click the red bin icon to permanently delete a classification. Classifications in use cannot be deleted.
5.2 Payroll Group
Manage payroll groups and codes used for staff payroll categorisation. Payroll groups are assigned to staff members in their Employment Details.
- Click + Add Payroll Group to add a new inline row. Enter the Name and Code directly in the input fields, then click the green tick (✔) to save or orange ✕ to cancel.
- The Code column displays the payroll system code associated with each group (e.g. used for payroll software integration).
- Toggle Active to enable or disable a payroll group without deleting it.
- Click the red bin icon to permanently delete a payroll group.
5.3 Pay Group Category
Manage pay group categories for support workers. These categories provide further breakdown within payroll groups.
- Click + Add Category to add a new row inline directly in the table. Type the category name in the input field, then click the green tick (✔) to save or the orange ✕ to cancel.
- Toggle Active to enable or disable a category without deleting it.
- Click the red bin icon to permanently delete a category.
5.4 Compliance & Competency Document Types
This section defines the types of compliance documents required from staff. The document types created here appear as options when uploading staff compliance documents.
- Click + Add Document Type to add a new row inline. Type the document type name (e.g. "Working with Children Check", "First Aid Certificate") in the input field, then click the green tick (✔) to save or the orange ✕ to cancel.
- Toggle Active to control whether this document type appears as an option when uploading staff compliance documents.
- Click the red bin icon to permanently delete a document type.
5.5 Support Item Numbers
This section manages the NDIS Support Item Price Catalogue. The catalogue drives the billable items available when creating invoices and assigning support items to shifts.

5.6 Client Plan Doc Headings
Manage the document headings available when creating client plan documents. These headings structure the participant's care plan documentation.
- Click + Add Heading to add a new row inline. Type the heading name (e.g. "Goals", "Medical History", "Support Needs") in the input field, then click the green tick (✔) to save or the orange ✕ to cancel.
- These headings appear as section options when uploading documents to a participant's profile under the Documents tab.
- Click the red bin icon to permanently delete a heading.
5.7 Service Agreements (Participant Documents)
Manage service agreement templates that can be assigned to participants. These templates form the basis of the formal service agreement between your organisation and NDIS participants.
- Click + Add Agreement to open the Service Agreement Template editor.
- Use the Edit (pencil) icon to update an existing template.
- Click the Delete (bin) icon to permanently remove a template.
- Agreements created here are available to assign to participants via their Service Agreement tab.
Adding a Service Agreement Template
The template editor has two sections:

Field Placeholders
On the right-hand panel is a list of dynamic field placeholders. Click any placeholder to copy it, then paste it into the agreement body. When the agreement is generated for a participant, these placeholders are automatically replaced with real data:

5.8 Public Holidays
Manage public holidays by year and Australian state. Public holidays are used in shift scheduling and payroll calculations to apply correct penalty rates.
Add Public Holiday Form

Click 💾 Save Holiday to save, or ✕ Cancel to discard.
Admin – Staff Access (Role Permissions)
Navigate to Admin → Staff Access to manage granular permission control for each staff member. This determines which modules and actions each user can access.

6.2 Clone Access From Another Staff Member
To quickly replicate permissions from an existing staff member, use the Clone Access From dropdown. Select the staff member whose permissions you wish to copy, then click Save Access.

Admin – Incident Management
The Manage Incidents module allows your organisation to track, review, and manage incident reports in line with NDIS quality and safeguarding requirements.

Click + Add Incident to log a new incident report. Use the All Statuses dropdown to filter incidents by status. Click ⬇ Export CSV to download incident data.
Admin – Contact Management
The Manage Contacts module provides a central directory for managing external contacts, including service providers, allied health professionals, and organisations your organisation works with.

Click + Add Contact to create a new contact record. Use the search bar to find contacts by name, company, or service type.
Admin – Portal Log
The Portal Log provides a complete audit trail of all actions performed in the CodexPro portal. This is essential for security monitoring, compliance reporting, and troubleshooting.
The portal log captures events such as:
- Login and logout events (e.g. "IT Support (Super Admin) has been login into portal", "IT Support (Super Admin) has been log out")
- OTP sent events (e.g. "OTP has been sent to IT Support (Super Admin)", "OTP has been sent to Training Staff (Support Worker)")
- Record updates (e.g. "Public Holiday (Easter) is updated by", "User Training Staff (Support Worker) is updated by")
- All actions are recorded with the Action By user and an exact Action Date timestamp
Use the Search bar to filter log entries by action description or user name. Click ⬇ Export CSV to download the full log for reporting or auditing.
Admin – App Notifications
The App Notifications module allows administrators to manage and send mobile app push notifications to support workers and other staff.

Use the Queued status filter to view notifications by their delivery status. The Acknowledged toggle in the header filters to show only acknowledged or unacknowledged notifications.
Admin – Unallocate Shifts
The Scheduled Shifts (Unallocate) screen allows administrators to view and unallocate shifts that have been assigned to a specific staff member — for example, when a staff member calls in sick or needs to be replaced.
Staff – Staff Types
Navigate to Staff → Staff Types in the sidebar to manage all support staff accounts. The Staff menu contains separate lists for each staff type, each with its own dedicated page.
The available staff types are:

Service Delivery Manager — oversees participant service delivery.
🧑🤝🧑 Support Worker
Frontline staff delivering direct support to participants.
🤝 Support Coordinator
Coordinates participant NDIS plans and support services.
🔧 Sub-Contractors
External contractors engaged to deliver specific services.
🏥 Therapeutic Support Professionals
Allied health and therapeutic support staff.
🩺 Community Nurse
Nursing staff providing community health support.
💼 Accounts
Finance and accounts staff managing billing and payments.
📋 Intake
Staff managing participant intake and onboarding.
12.1 Staff Type List (Example: Support Worker)
Each staff type list follows the same layout as the Admin user list. The example below shows the Support Worker Staff list.
The list shows Full Name, Email, Username, Mobile No, Created Date, Active status, and action buttons: Edit, Docs (compliance documents), Delete, Participants Access, and Staff Access — the same as the Admin staff list.
12.2 Add / Edit Support Staff Form
The Add/Edit form for support staff contains all the same fields as the Admin form, plus additional employment fields specific to support workers.

12.3 Staff Compliance Documents, Participant Access & Staff Access
The Docs, Participants Access, and Staff Access icons on each staff row work exactly the same way as described for Admin users in Sections 4.3, 4.4, and 4.5. Refer to those sections for detailed instructions.
Staff – Leave Management
Navigate to Staff → Leaves to manage and approve staff leave requests. This module provides visibility over all staff leave for scheduling and compliance purposes.
Filtering Leave Records
Use the All dropdown to filter by staff member, and the Status dropdown to filter by leave status: Approved, Pending, Rejected.
Adding a Leave Request
Approving or Rejecting Leave
Click the ✏ Action button on any leave row to approve or reject the request. Once actioned, the Action By and Action Date columns will be updated to show who took the action and when.
Staff – Availability
Navigate to Staff → Availability to view and manage support worker availability. This calendar-based view helps coordinators identify available workers before scheduling shifts.

At the bottom of the calendar, two colour indicators help at a glance: ● Available (no shift) — available but not yet rostered, and ● Available (shift assigned) — available and already has a shift scheduled.

Recurring Availability
The Recurring section allows you to set availability that repeats automatically, saving time for staff with regular weekly schedules:

Participants – Intake Forms
Navigate to Participants → Intake Form. The Intake Form module enables your organisation to digitally onboard new NDIS participants. You can create an intake form, send it to the prospective participant via email or SMS for digital completion and signing, and then convert the completed form directly into a participant profile.

14.1 Add New Intake Form
The intake form captures comprehensive participant information including personal details, NDIS plan information, support needs, medical history, emergency contacts, and a digital signature. Once the participant completes and signs the form online, the status changes to Completed.
14.2 Creating a Participant Profile from an Intake Form
After a participant completes their intake form, administrators can create a full participant profile directly from the submitted data — eliminating double-entry of information.
Participants
Navigate to Participants → Participants to manage all NDIS participant records. This is the central hub for all participant information, plans, care notes, documents, and service agreements.
Status Summary Badges
● Participants — Total active participants. ● Plan Expired — Participants whose NDIS plan end date has passed. ● Expiring Soon — Participants whose plan end date is approaching.
15.1 Add / Edit Participant
Click + Add Participant to open the comprehensive participant form. Click the pencil icon on any participant row to edit their details.
Participant Shifts
Navigate to Participant Shifts in the sidebar to access the shift rostering and scheduling module. This is where all participant support shifts are created, assigned, tracked, and managed.

Calendar Filters & Views

16.1 Adding a New Shift
Click + Add Shift to open the Add Shift form. Complete all required fields (*) before saving.

Frequency
Select how often this shift recurs: Once (single shift) or recurring options (daily, weekly, fortnightly, etc.). Recurring shifts create multiple shift entries automatically.
Shift Options

Care & Instructions
Enter Care Instructions / Tasks for this shift — specific tasks the support worker needs to complete. You can also add Special Instructions for any shift-specific requirements. Both fields support rich text formatting.
Click ✔ Save Shift to create the shift, or ✕ Cancel to discard.
16.1b Table View
In addition to the Calendar View, you can switch to Table View using the view dropdown filter. Table View shows shifts in a list format with a date range filter, making it easy to search and review shifts across a specific period.
Table View columns: Date, Scheduled (start–finish times), Clock In/Out (actual times), Participant, Staff, Status, A… (amount), Re… (receipt), Support Item, and Notes. Use the date range picker to filter shifts by period.
16.2 Viewing Shift Details
Click on any shift in the calendar to open its detail view. The Shift Details page is divided into the following sections:

From the Shift Details page, click ✏ Update Shift to edit the shift, or 🗑 Delete to permanently remove it.
16.3 Updating a Shift
The Update Shift form provides additional fields beyond the Add Shift form, allowing administrators to record actual clock-in/out data and update shift outcomes.

- Care Notes — Notes recorded by the support worker during or after the shift.
- Travel Reason — Justification for any travel claimed.
- Staff Notes — Notes added by the support worker visible to management.
- Internal Notes — Administrative notes visible only to admin staff.
- Cancel Notes — Reason for cancellation (if shift is cancelled).
Update Scope
At the bottom of the form, choose whether to apply changes to:
- Only This Shift — Changes apply to this single shift only.
- All Future Shifts (Same Participant & Worker) — Changes propagate to all future recurring shifts for the same participant and worker.
Click ✔ Update Shift to save changes, or ✕ Cancel to discard.
Billing – Participant Invoices
Navigate to Billing → Invoices to manage all participant invoices. This module generates professional tax invoices from completed shift data, tracks payments, and manages outstanding balances.
Summary Badges
● Total — Total number of invoices. ● Received — Total amount received. ● Outstanding — Total amount outstanding. ● Total Amount — Grand total of all invoices in the filtered view.

Generated invoices are professional tax invoices featuring:
- Provider branding — CodexPro logo, Provider Name, ABN, and state (e.g. VIC)
- Invoice number and date in a highlighted badge (e.g. Tax Invoice #4690 — 26 Mar 2026)
- Bill To section — plan manager or participant name, email, and phone
- Participant Details — participant name, NDIS number, and address
- Line items table showing Date, Item No, Item Description, Qty, Rate, Amount, and Tax code (FRE = GST Free)
- A comments section for any notes on the invoice
- Financial summary — GST, Total Inc. GST, Amount Applied, and Balance Due
- Payment footer showing BSB and Account Number for remittance
Billing – Invoice By Plan Manager
Navigate to Billing → Invoices By Plan Manager to view and manage all invoices grouped by plan manager. This is useful for sending bulk invoice statements to specific plan managers.
Summary Badges
● Invoices — Total number of invoices for the selected plan manager. ● Received — Total amount received. ● Outstanding — Total amount still outstanding.

Navigate to Billing → Cumulative Invoice to view invoice totals grouped by NDIS support item for a participant over a date range. This provides a summary view of what has been billed per line item.

● Items — Total number of support line items in the period. ● Total Qty — Combined quantity across all support items. ● Total Amount — Grand total dollar value billed across all support items.

Billing – NDIS Bulk Upload
Navigate to Billing → NDIS Bulk Upload to generate NDIS portal-compatible bulk payment request data. This module — titled Cumulative Invoice For NDIS — is used for Agency Managed participants where claims are submitted directly to the NDIA via the myplace portal.
Summary Badges
● Claim Lines — Number of individual claim line items generated. ● Total Qty — Combined quantity units across all claim lines. ● Total Amount — Grand total dollar value of all claims in the period.

Navigate to Billing → Outstanding Payment Report to view all invoices with unpaid balances that require attention. This report helps your accounts team follow up on outstanding payments efficiently.

● Invoices — Total number of invoices with outstanding balances. ● Outstanding — Total outstanding amount across all invoices. ● Total Amount — Grand total invoice value in the report.
This report displays all invoices across all participants that have not been fully paid or written off. It includes a Search invoices… bar to quickly locate specific invoices by number or participant.

Navigate to Billing → Timesheet Report to review a detailed breakdown of staff hours and travel by support worker and date range. This report is used for payroll preparation and compliance reporting.
Filters & Summary Badges
Use the Staff dropdown (default: All) to filter by a specific support worker, and set the date range (e.g. 01/03/2026 – 31/03/2026). Click ⬇ Export CSV to download. The top-right summary badges show: ● Shifts — number of shifts, ● Hrs — total hours, ● Kms — total kilometres.

Billing – Shift Report
Navigate to Billing → Shift Report to view a summarised report of staff hours, kilometres, and dollar totals by date range. Unlike the Timesheet Report (which lists shifts individually), the Shift Report aggregates all hours and totals per staff member — ideal for payroll processing at the end of each pay period.
Summary Badges
● Staff — Number of staff members in the report. ● hrs Total — Total hours worked across all staff. ● Total — Total dollar value of all shifts.
Filters
Set the date range (e.g. 01/03/2026 – 31/03/2026) to define the payroll period, and use the Search staff… bar to find a specific worker. Click ⬇ Export CSV to download the aggregated report.
